How to turn meetings into tasks and next steps with AI

Teams, Google Meet and Zoom already generate summaries and action items. How to use them, what to check before they become tasks and how to handle recording and transcription transparently.

Short answer

Turn on transcription with notice to participants, let AI generate the summary and action items, and review the list the same day before turning it into tasks with an owner and a deadline. The step that slips most is the last one, getting what was agreed into the place where the team works and into the customer's history.

Key takeaways

  • In Microsoft's 2023 Work Trend Index, 55% of workers said next steps are unclear at the end of meetings 1.
  • Teams, Google Meet and Zoom generate summaries with next steps or tasks, usually on paid plans 3 4 6.
  • AI-generated action items need review. Names, deadlines and owners deserve the closest check.

Why agreements get lost after the meeting

In its 2023 Work Trend Index, covering 31,000 workers in 31 countries, Microsoft found that 55% say next steps are unclear at the end of meetings and 56% say it's hard to summarize what happened 1. In the same survey, 80% said they would like AI to help summarize meetings and action items 1.

Academic research points the same way. A 2018 review in Current Directions in Psychological Science brings together studies in which up to half of meetings are rated as poor by participants, and recommends sending minutes and action items soon after the meeting 2.

What meeting tools already do

Summary features as described by vendors, October 2026
ToolWhat it deliversStated requirements
Microsoft TeamsIntelligent recap with AI notes, suggested tasks and chapters 3A Teams Premium or Microsoft Copilot license, with transcription turned on 3
Google MeetAutomatic notes in a document, with a summary, decisions and next steps with owners 4An eligible Google Workspace edition or Google AI plan, with one language per meeting 4
ZoomA summary generated from the meeting audio converted to text and emailed when the host shares it 5, with action items that can become tasks in Zoom 6A paid Zoom Workplace Pro plan or higher 5

Features and plans change often. Check the vendor's documentation before you standardize the process.

From summary to task, in five steps

  1. Give notice and turn on transcription at the start of the meeting. The tools notify participants when transcription or notes begin 4 7.
  2. At the end, read the action items aloud and confirm the owner and deadline for each one. Two minutes here prevent most mistakes.
  3. Review the summary the same day. Fix names, numbers and any item the AI inferred without anyone saying it.
  4. Move the tasks to where the team works, like your task manager or CRM, with a link to the summary.
  5. Log what was decided and promised in the customer's history, so the next conversation starts where this one ended.

Being transparent with participants

Recording and transcription process the personal data of everyone in the meeting. The GDPR requires information about that processing to be concise, transparent, intelligible and easily accessible 8, and the processing needs a lawful basis 9. Brazil's LGPD has similar transparency duties 10. Google Meet tells participants when notes are on and lets admins require explicit consent 4. In Teams, everyone sees a notice when transcription starts 7.

  • Say in the invitation that the meeting will be transcribed, and why.
  • Ask at the start whether anyone objects, especially in meetings with customers.
  • Decide how long transcripts and recordings are kept and who can access them.

From meeting notes to the memory of the relationship

A meeting summary usually ends up in a document or an email nobody opens again. For the business relationship, what matters are the facts that change the account, like a new decision maker, an agreed deadline, an objection or a sensitivity. Relationship intelligence takes those facts into the company's memory, linked to the account and the people, with the meeting as the source.

In ARC, a recorded meeting comes in alongside voice notes, screenshots and messages. ARC separates commitments, risks and context, asks for confirmation on anything uncertain and uses the history to remind the team of the next step. The Content Hub can prepare the follow-up email and the briefing for the next meeting, with the source of each passage, for a person to review.

FAQ

Which AI tools turn meetings into tasks?

Microsoft Teams, Google Meet and Zoom have built-in features that generate summaries with next steps or tasks, on specific plans 3 4 6. There are also standalone assistants. Whichever you use, review the list before creating the tasks.

Do I need to tell people the meeting is being transcribed?

Yes. The GDPR requires transparency about the processing of personal data 8, as does Brazil's LGPD 10, and the tools themselves notify participants when transcription starts 4 7. Saying so in the invitation as well avoids surprises.

Are AI-generated action items reliable?

They can contain mistakes, especially in names, deadlines and owners, or include something nobody agreed to. A quick review the same day, ideally by whoever ran the meeting, solves most of the problems.
