How to use AI for B2B prospecting
Account research, qualification, personalization and cadence with AI, the limits set by privacy law and email providers, and why the database you already have is usually the best place to start.
Short answer
Use AI to research accounts, organize qualification criteria and prepare relevant outreach, and keep a person deciding who to contact and what to say. Volume without relevance is the biggest risk, since 73% of B2B buyers say they avoid suppliers that send irrelevant outreach 2.
Key takeaways
- B2B buyers spend only 17% of their buying time with suppliers, according to Gartner 1. Every contact has to justify the time it asks for.
- AI helps more with research and personalization than with sending. Experiments published in Marketing Science show an effect from even simple personalization 3.
- Prospecting with personal data needs a lawful basis. Under the GDPR, legitimate interests depends on a balancing test and on what the person can reasonably expect 4.
What changed in B2B prospecting
Buyers arrive better informed and less available. Gartner estimates that in a complex B2B purchase, the buying group spends 17% of its time with suppliers, and time with any one rep can drop to 5% or 6% 1. In a 2024 survey of 632 buyers, 61% said they prefer a rep-free buying experience and 73% said they actively avoid suppliers that send irrelevant outreach 2.
AI made writing messages cheap, and the volume of generic outreach grew with it. What sets a team apart now is relevance, knowing why to talk to that organization now.
Where AI helps at each stage
Define your ideal customer profile
AI helps analyze the customers who buy, renew and refer the most, and describe what they have in common, like industry, size, region and timing. The final criteria belong to the team.
Research accounts
Summarizing an organization's website, publications, news and job postings takes seconds. Signals like a new regulation, a public tender or a leadership change become a concrete reason for the conversation.
Map the buying group
Complex decisions involve several people, and Gartner puts a typical buying group at 6 to 10 decision makers 1. AI helps organize who is who. The relationship with each person stays human.
Personalize the outreach
In field experiments with millions of recipients, Sahni, Wheeler and Chintagunta tested adding the recipient's name to an email subject line. In the main experiment, opens rose 20% and leads rose 31% 3. The study covers email marketing, so take it as an indication for prospecting. In B2B, the personalization that counts most is usually the reason for the conversation.
Organize the cadence
AI reminds you when to make the next contact and prepares the draft. A few messages, spaced out and with a clear way out, respect the buyer and your domain's reputation.
The rules AI prospecting has to respect
Since February 2024, Gmail requires all senders to authenticate their email. It requires every sender to keep the spam rate below 0.30% and recommends staying below 0.10%. Senders of more than 5,000 messages a day also need DMARC and one-click unsubscribe on marketing messages 5. Yahoo adopted similar requirements, also from February 2024 6. Mass sends generated by AI run into these limits quickly.
Under the EU's GDPR, prospecting with personal data needs a lawful basis. Legitimate interests requires the processing to be necessary and to pass a balance against the person's rights and freedoms 7, and people can object to direct marketing at any time, after which their data can no longer be used for it 8. Recital 47 says direct marketing may be a legitimate interest and points to the person's reasonable expectations, which a relevant relationship, such as being a client, can support 4.
Email adds a second layer. The ePrivacy Directive allows marketing email to individual subscribers only with prior consent, with an exception for a company's existing customers and its own similar products, and leaves the protection of corporate subscribers to each member state, so the rules for business addresses vary by country 9. In Brazil, the data protection authority's guide on legitimate interest recommends documenting a balancing test and offering easy ways to object and unsubscribe 10.

A playbook to get started
- Start with the database you already have, like former customers, partners and contacts with history.
- Write down the reason for each outreach before you write the message.
- Use AI to research and draft, and review every message before it goes out.
- Cap the volume and track reply and unsubscribe rates.
- Log what you learned in each conversation, so the next outreach starts where the last one stopped.
Prospecting from the relationships you already have
AI prospecting usually starts from new lists. Relationship intelligence starts from what the company already knows. Former customers, partners, event contacts and people who changed companies carry history, trust and a prior relationship, the kind of context GDPR Recital 47 weighs when it considers what a person can reasonably expect 4. Crossing that memory with outside signals shows who to contact and why.
ARC's Opportunity Radar follows official publications, public tenders, regulations and market moves, and links each signal to the organizations and people in your memory, with the excerpt from the source. The Infinite Funnel finds stalled relationships worth picking up again. Both suggestions only become tasks once someone approves them.
FAQ
Can AI write and send prospecting emails on its own?
Technically yes, and the risk is high. Generic messages push buyers away, since 73% say they avoid suppliers with irrelevant outreach 2, and volume runs into Gmail's and Yahoo's sender rules 5 6. The safer setup is AI researching and drafting, with a person reviewing and sending.
Does B2B prospecting need consent under the GDPR?
Not always for the GDPR itself, which also allows legitimate interests, subject to necessity, a balancing test and the right to object 4 7 8. Marketing email is also covered by national rules under the ePrivacy Directive, which can require consent depending on the country and on whether the recipient is an individual 9. Check your case with a specialist.
What's the best starting point for AI prospecting?
The database the company already has. Contacts with history give you context for relevant outreach and are usually the shortest path to a conversation.
